For wholesalers and distributors
Orders arrive as emails, PDFs and phone photos, and someone keys every line into the system.
A purchase order with the customer's part numbers instead of yours, a list photographed on site, a call asking whether you have it in stock. We build the systems that read those orders into your ERP or accounts package, answer stock and product questions from your own catalogue, and keep them running after they are built.
You will recognise at least one of these
01
The PDF purchase order, line by line
A customer's order arrives as a PDF with their own part numbers. Somebody looks up each one, keys the lines into the sales order screen, and checks the price against that customer's account terms.
02
Do you have it, and when can it go out
The same questions arrive all day by phone, email and the website: is it in stock, is there an alternative, when will it be delivered. The answer is in your stock system, and someone looks it up by hand each time.
03
Finding out it ran out when the order lands
Reorder levels live in a spreadsheet or in the head of the person who has done the buying for years. A fast mover runs out, and the first sign is a pick that cannot be completed.
04
The long quote from a schedule of materials
A contractor or site buyer sends a list of materials and asks for a price. Somebody matches every line to a product code, checks stock and the customer's price band, and builds the quote in the system.
What we take off the desk
Each of these is built from information your firm already holds. Somebody is retyping it. We stop that, and we keep it running after it is built.
Not sure which one to start with? Send us the thing that eats the most afternoons. We reply within one business day, and within 1-2 business days you have in writing what we would build first and what it would cost.
Orders read into your system
Emailed, PDF and scanned purchase orders read, customer part numbers matched to your codes, and sales orders drafted for a person to confirm. Lines it cannot match go to a person, not into the order.
Product questions answered from your catalogue
An assistant on your website or shared inbox that answers what you stock, specifications and alternatives from your own catalogue and stock data, and passes anything about account pricing or credit to your team.
A low-stock report every morning
An agent that reads your stock database overnight and reports what is running low against your reorder levels, so the buyer starts the day with the list rather than the surprise.
Quotes from a list of materials
Quote requests matched line by line to your products and the customer's price band, with stock shown against each line, drafted for the sales desk to check and send.
Supplier paperwork matched to the order
Supplier invoices and delivery notes read and matched against your purchase orders, with differences in quantity or price flagged before anyone approves the invoice.
How the first two weeks go
01
You tell us where the orders come from
One conversation, or one email. Which channels, which system the orders go into, a few real examples. We reply within one business day.
02
We write the scope
A one-page document: what gets built first, what it needs access to, what it costs, and the date. Fixed. You decide with a number in hand.
03
It goes into production
Built against your real catalogue and customer codes, tested on last month's orders, switched on with a person confirming every order until you say otherwise.
Every offer has a written scope before any invoice, and a fixed price on that scope. If something we built ever stops, the first to hear about it is us, not your client. The full list of what we charge for is on the pricing page. A written diagnostic of something already broken starts at $500£400€450, credited in full against the repair if you go ahead within 90 days.
Questions we get from wholesale firms
Which ERP and stock systems do you work with?+
Anything with an export or an API, which covers most ERP, stock, accounts and e-commerce systems that distributors use. If yours only has a screen, we start from the documents it produces. Tell us the name and we will tell you within one business day.
What happens when it reads an order wrong?+
It is built to stop rather than guess. Each line is matched to a product code with the reason shown, doubtful or unmatched lines go to a person, and by default a person confirms each order before it is released for picking.
Have you built anything like this?+
For an online store we built an assistant that answers customers' product questions from its own catalogue. For a drilling company we built a nightly agent that reads their warehouse stock database and reports what is running low. Order reading is built the same way: your data, your rules, and a person checking the output.
Can it answer the phone when the counter is busy?+
Yes. For a digital agency we built a phone voice agent that answers and makes calls, replies from the business's own information and hands over to a person when needed. For a distributor that means stock and opening-hours questions answered, and anything about an account passed to your team.
What does it cost?+
Every build has a written scope and a fixed price on that scope before any invoice. Build sprints run from $3,000 to $25,000, care after launch starts at $1,000 a month, and the first 30-minute consultation is free. The full list is on the pricing page, in pounds for UK firms.
Describe the problem. Get a written quote.
Outline the failing system, or the process that should stop being manual. Every enquiry is answered by the engineer who would do the work.
- 01
Within one business day
A reply from the person who would do the work: whether we can help, what it would cost, and what we would do first.
- 02
Then a one-page scope
The price, the date, what is included. Send a log instead and the written diagnostic comes back in two business days.
- 03
What you will not get
Discovery workshops billed by the hour, slide decks, or a handoff to a sales team. If we are not the right fit, we say so and name a better one.
